3. How We Use Your Personal Data
We process personal information only where we have a lawful basis and a legitimate purpose.
Our primary purposes include:
Website Operations and Security
To operate, maintain, secure, and improve our website and digital services.
Business Communications
To respond to inquiries, discuss potential projects, and manage professional relationships.

4. Legal Basis for Processing
We rely on the following legal bases under Article 6 of the GDPR, as applicable:
- Legitimate interests (Article 6(1)(f)): To operate and secure our website, respond to relevant business inquiries, and manage recruitment activities, subject to an assessment of your rights and interests.
- Pre-contractual steps or contractual necessity (Article 6(1)(b)): Where processing is necessary to take steps at your request before entering into a contract or to perform an existing contract.
- Consent (Article 6(1)(a)): Where you voluntarily agree to specific processing activities, including retaining your application for future recruitment opportunities.
- Legal obligations (Article 6(1)(c)): Where processing is necessary to comply with applicable law.
Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.
5. Job Application Data Retention
We take the privacy of our job applicants seriously and have established a structured approach to managing recruitment data.
5.1 Applications for Current Positions
Personal data submitted in connection with a specific job application will be processed for as long as reasonably necessary to complete the relevant recruitment process.
When the recruitment process ends, information that is no longer required will be deleted or anonymised unless another lawful basis justifies continued retention.
5.2 Retention for Future Opportunities
If you separately consent to having your application considered for future opportunities, we may retain your recruitment information for a period of up to 12 months from the date of your consent.
This allows our recruitment team to contact you if a relevant position becomes available.
Providing this consent is entirely optional and does not affect your application for the position you originally applied for.
5.3 Retention Reminder
Approximately 30 days before your 12-month retention period expires, we will send a reminder to the email address associated with your application.
The reminder will explain that your personal data is approaching its scheduled deletion date and provide an option to extend its retention.
You may actively choose to keep your information in our recruitment database for an additional 12 months by selecting the confirmation option in the email.
The additional retention period begins on the date your renewed consent is recorded.
5.4 Automatic Data Deletion
If you do not confirm that you wish to extend the retention period, your application information will be automatically deleted from our active recruitment database when the existing 12-month period expires.
We will not treat silence, inactivity, or failure to respond as consent.
We may retain limited information where required or otherwise permitted by law, including where necessary to establish, exercise, or defend legal claims.
Residual copies in backups will be handled according to our applicable backup retention and deletion procedures.
5.5 Early Deletion Requests
You do not need to wait until the end of the retention period to request deletion.
You can request deletion of your recruitment data at any time by emailing:
careers@omoi.co
Please use the subject line: Personal Data Deletion Request.
We may ask you to verify your identity before processing the request to prevent unauthorised access to or deletion of personal information.
We will process verified requests without undue delay, subject to any applicable legal exceptions, and inform you of the outcome.
6. Data Storage and Security
We implement appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration, or disclosure.
These measures may include:
- Access restrictions based on professional responsibilities.
- Secure databases and infrastructure.
- Encryption where appropriate.
- Authentication and access controls.
- Regular review of stored information.
- Automated retention and deletion procedures.
Access to recruitment information is restricted to authorised personnel involved in recruitment and related administration.
While we take reasonable steps to protect personal information, no electronic system can be guaranteed to be completely secure.
7. Sharing Personal Information
We do not sell your personal information.
We may share personal data with trusted service providers where necessary to operate our website, communicate with users, manage recruitment, or provide related services.
Such providers may include:
- Website hosting and infrastructure providers.
- Database and cloud storage providers.
- Email delivery and communication services.
- Recruitment and application management tools.
- Technical support and security service providers.
We require processors acting on our behalf to handle personal data under appropriate contractual and security safeguards.
We may also disclose personal information where required by law or necessary to protect our legal rights.
8. International Data Transfers
Some of our service providers may process personal information outside the European Union or European Economic Area (EU/EEA).
Where international transfers occur, we will ensure that an appropriate transfer mechanism is in place as required by applicable data protection law.
Depending on the circumstances, these safeguards may include European Commission adequacy decisions, Standard Contractual Clauses, and supplementary safeguards where necessary.
You may contact us for further information about applicable safeguards.

You can manage cookies through your browser settings and any cookie preference controls available on our website.
Further details about specific cookies, their purposes, providers, and retention periods will be made available where applicable.
10. Your Rights Under GDPR
Subject to applicable conditions and exceptions, you have the right to:
- Access: Request information about the personal data we hold about you.
- Rectification: Request correction of inaccurate or incomplete personal data.
- Erasure: Request deletion of your personal information.
- Restriction: Request that we limit certain processing activities.
- Data portability: Receive certain personal data in a structured, commonly used, machine-readable format.
- Objection: Object to processing based on legitimate interests.
- Withdrawal of consent: Withdraw consent at any time where we rely on it for processing.
You also have the right not to be subject to decisions based solely on automated processing, including profiling, that produce legal or similarly significant effects, except where permitted by applicable law.
To exercise your rights, please contact us at:
careers@omoi.co for recruitment-related requests, or sayhi@omoi.co for general privacy inquiries.
We aim to respond to requests within one month, subject to extensions permitted by GDPR.
11. Automated Processing in Recruitment
Our Careers page may use an interactive, chat-style application interface to collect information from candidates.
The interface may guide applicants through predefined questions and record their responses.
Using an interactive application interface does not, by itself, mean that recruitment decisions are automated.
Any additional automated evaluation or decision-making processes that fall within GDPR transparency requirements will be disclosed to candidates as required by law.
12. Third-Party Links
Our website may contain links to external websites or services that are not operated by Omoi.
We are not responsible for the privacy practices of these third parties.
We encourage you to review their privacy policies before providing personal information.
13. Children's Privacy
Our website and recruitment services are intended for professional and general audiences and are not specifically directed at children.
We do not knowingly collect children's personal information without an appropriate lawful basis.
If you believe that personal information has been collected from a child inappropriately, please contact us.
14. Complaints and Supervisory Authority
If you have concerns about how we process your personal information, we encourage you to contact us so that we can address them.
You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY), or another competent supervisory authority.

15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, data processing practices, or legal requirements.
Any updates will be published on this page, together with a revised "Last updated" date.
Where required by law, we will provide additional notice or request renewed consent.
16. Optional Vacancy Updates
When you apply for a position at Omoi, you may separately choose to receive email updates about new vacancies by selecting the optional subscription checkbox.
This subscription is voluntary. Choosing not to subscribe, or unsubscribing later, does not affect your application or how we assess it. Acknowledging our Privacy Policy does not, by itself, subscribe you to vacancy updates.
16.1 Purpose and Legal Basis
We use your email address to send updates about newly published, open vacancies at Omoi. This processing is based on your consent under Article 6(1)(a) of the GDPR.
These updates are general vacancy announcements. They do not involve automated assessment of your application or personalised matching against your CV or portfolio.
16.2 Information We Store
To manage this subscription, we store:
- Your email address.
- The date of your subscription and a record of your consent, linked to the application in which you subscribed.
- Whether your subscription is active.
- Scheduling and delivery information needed to manage vacancy updates.
- A unique token used to provide your personal unsubscribe link.
Subscription information is stored separately from the application records used by our recruitment team.
16.3 Frequency and Email Delivery
The first scheduled check takes place approximately 14 days after you subscribe, with subsequent checks every 14 days. Processing times may vary slightly depending on system availability.
We send an email only when new, published vacancies that are still open have been identified since your previous check. If there are no new vacancies, we skip that email. Several new vacancies may be included in a single update.
We use Resend as our email delivery provider. Your email address and the contents of the vacancy update are shared with Resend to deliver the message. Your CV, portfolio files and application answers are not included in these updates.
16.4 Unsubscribing and Deletion Requests
You may withdraw your consent at any time using the unsubscribe link included in every vacancy update. The link opens a page where you can confirm that you wish to unsubscribe. Where supported by your email provider, you may also use its unsubscribe option.
You may also contact us at careers@omoi.co to withdraw your consent or request deletion of your subscription information.
Once you unsubscribe, we disable your subscription and stop further vacancy updates. Withdrawal does not affect the lawfulness of processing carried out before you withdrew your consent.
Unsubscribing does not automatically delete your job application or your subscription record. An inactive subscription record remains in our database to record your subscription status and withdrawal. Requests to delete this information are handled in accordance with your rights and any applicable legal obligations.
Submitting another application without selecting the optional subscription checkbox does not cancel an existing subscription. To stop updates, please use the unsubscribe link or contact us. If you choose to subscribe again after unsubscribing, a new subscription period begins.
